Assistant Venue Manager (Full-time; non-exempt)

REPORTS TO: Venue Manager

GENERAL DESCRIPTION: Rockport Music presents classical, jazz and folk music, opera and theatre simulcasts, and a cinema series in its premier and highly acclaimed Shalin Liu Performance Center. Rockport Music seeks an individual with stage management knowledge and customer-service skills. This person is responsible for maintaining the building systems, as well as serve as a production manager for concerts and events.  This individual should work well in a fast-paced and team-oriented environment. 

  • Coordinate the technical needs and any additional technical staff required for each concert or event.  Coordinate Artist Logistics, i.e. lodging, food, travel, rehearsal schedule, etc.
  • Knowledge of sound engineering and stage lighting to negotiate technical rider information and implement needs for advance preparation for concerts.  Coordinate all necessary equipment rental for concerts and manage the setup and load-out of this equipment. 
  • Manage backstage and production needs at concerts and events, including lighting, green room, stage setups, etc.
  • Serve as artist liaison during concert and setup Green Room needs accordingly
  • Maintain A/V and lighting equipment ensuring they are operational for concerts and events
  • Maintain regular maintenance schedule for the Shalin Liu Performance Center to ensure that systems run properly and efficiently.  Maintain lighting supplies, filters and other supplies needed for maintenance and repair of the Shalin Liu Performance Center.
  • Knowledge of systems and maintenance needs of the different mechanical systems-HVAC, boiler, chiller, plumbing, etc.  Troubleshoot issues as needed.
  • Organize contracts, prepare paperwork for checks, and maintain artist files for Rockport Music office. Manage parking needs and requests for events.
  • Schedule necessary parking needs for Rockport Music events and rental events, including police detail, when needed.
  • Manage volunteer and student staff in production.  Coordinate with volunteer and student staff the setups and breakdowns for Rockport Music events and rentals.
  • Operate projector and serve as Manager on Duty for film series and other events, as needed
  • Provide Box Office assistance during business hours
  • Hours: Regular office hours with many evenings and weekends required.

 

QUALIFICATIONS: The ideal candidate will have knowledge of theatre or stage management, including A/V and/or lighting equipment.  General knowledge of maintenance systems, i.e. HVAC, plumbing, boiler, etc. required.  Ability to lift and set up stage equipment and function space required (at least 50 lbs.).   General computer skills required, including Excel and Microsoft Word.

Box Office Assistant/Volunteer Coordinator
(full-time, non-exempt)

General Description: Rockport Music presents classical, jazz and folk music, opera and theatre simulcasts, and a cinema series in its premier and highly acclaimed Shalin Liu Performance Center. Rockport Music seeks an energetic and organized individual who can support the Box Office and coordinate the volunteers for the organization.  This candidate will be detail-oriented and able to handle multiple tasks simultaneously in a fast-paced and team-oriented environment.
Box Office Assistance

  • Assist with Box Office operations on a daily basis—taking and processing ticket orders, mailing tickets, maintaining appropriate information to provide to customers, etc.
  • Become proficient with SeatAdvisor (Tessitura) software and familiar with tech support resources. Primarily responsible for phone and walk-in sales.  Serve as primary point of contact for all phone calls and offices guests/appointments
  • Process ticket printing and mailing.  Process payment for orders, including filling out accounting records. Organize mailing ticket orders and maintain mailing records.
  • Handle returns and exchanges, process paperwork to record same.  Process gift cards for concert tickets, maintain file of all gift certificates.
  • Concert preparation: Prepare concert print outs (guest list, available tickets, etc.).  Ensure daily cash boxes, paper work and other supplies are ready for the concerts.
  • Develop and maintain Box Office information/training booklet that keeps all volunteers and staff current with appropriate information.
  • Work during regular Box Office hours as well as scheduled evenings and weekends for concerts and events, serving as Box Office Manager in his/her absence.
  • Manage the office administrative needs, including maintaining supplies, equipment repairs, etc.
  • Maintain files of completed and pending orders.
  • Maintain sold out concert lists and notify appropriate staff members.
  • Participate in maintaining a clean well presented front of office w/ Rockport Music materials, Cape Ann information materials, allied restaurants & Inns.

Volunteer Coordination

  • Manage the year-round training schedule for volunteers
  • Maintain the database of volunteers and the hours provided to organization.  Ensure that nametags are maintained. 
  • Coordinate and schedule the volunteer assignments with the volunteers, providing regular sign-ups and notifications.  Coordinate the follow-up phone calls with the volunteers assigned for the coming week’s events, ensuring that there are an appropriate number for each event.
  • Maintain a current training manual with complete and accurate information.
  • Coordinate the other duties needed within the office beyond ushering at concerts.
  • Maintain supplies for concession sales and that they are properly stored.  Train Team Captains in the concession setup, as well as other Team Captain duties.  Ensure that supplies are ample and fresh for events.  Make certain that Catering Kitchen and supply areas are well maintained and orderly.
  • During events, ensure that volunteers are prepared and equipped with the information needed to successfully complete their roles. 
  • Coordinate regular tours for the public through the volunteers.  Work with the Volunteer Steering Committee to effectively organize the multiple volunteer roles for which volunteers interact with the public, Board and staff.
  • As needed, serve as Manager on Duty for certain events. 

Qualifications:   The ideal candidate will be customer service oriented with highly developed skills working with people.  College degree preferred.  Must have the ability to work with Microsoft Office computer software, especially Excel, as well as learn new computer software quickly.  Ability to occasionally lift about 20 lbs.

Marketing Assistant (Full-time; exempt)

REPORTS TO: Director of Marketing

GENERAL DESCRIPTION
: Rockport Music seeks an enthusiastic and energetic individual, who has a passion for the performing arts, to join Rockport Music’s marketing team. The Marketing Assistant will coordinate and assist with projects related to the organization’s marketing and public relations activities in support of audience development objectives, including electronic communications, printed materials, as well as signs and posters. Promotional areas of focus include concerts and cultural events, the new Shalin Liu Performance Center, and community outreach activities.  Fast paced, and friendly environment.

QUALIFICATIONS: Minimum of Bachelor Degree required.  Candidate will have excellent writing skills. Knowledge of and familiarity with the performing arts are preferred.  Individual will have experience or strong understanding of desk top publishing, graphic design, photo editing software, Powerpoint, Excel and Microsoft Word.

TYPICAL DUTIES:

  • Collect, write and edit programming and biographical materials for all concert and events.  Gather, format and file electronic images pertaining to all organizational activities.
  • Maintain and update Rockport Music web site. Create new marketing content and collect new content from all departments.  Serve as liaison to web master.
  • Develop content and design promotions for video monitors in Shalin Liu Performance Center lobby, as well as video communications for web and Facebook.
  •  Write and design posters and signage for the Shalin Liu Performance Center and distribution to key locations on the North Shore and the greater-Boston area.
  • Create program books and collateral materials for all concerts, community events and high-definition simulcasts from the Metropolitan Opera and the National Theatre of England.
  • Assist with email communications to patrons and ticket buyers.
  • Assist with creating and maintaining social media marketing.
  • Perform additional duties as assigned.
